1. Define what the sound must do

Before choosing equipment I ask what the audience actually needs to hear. A meeting with two speeches, an acoustic singer, karaoke and a dance party are four different jobs even when they happen in the same room. I need the expected audience size, the room use, performance type, start and finish times and whether an MC or venue manager will need a microphone.

I also ask what happens before and after the main performance. Background music while guests arrive, announcements, a presentation from a laptop and a final dance set all require inputs, cables and timing. A clear programme prevents the sound desk from becoming a last-minute collection point for unplanned devices.

2. Walk the room before placing equipment

I look for where people will sit or stand, where doors must remain open, where staff need to move and where a speaker stand would create a hazard. Glass, tiles, bare walls and low ceilings can make the room bright and reflective. Heavy curtains, people and soft furnishings absorb sound. The empty-room soundcheck is useful, but the balance can change once guests arrive.

Speaker position should provide a clear path to the audience while keeping microphones behind or sensibly away from the main output. Placing speakers in corners may increase bass but can also make it uneven. I would rather cover the room cleanly at moderate level than create one loud area and several unclear ones.

3. Confirm power instead of assuming

I identify usable outlets and ask whether catering equipment, heaters, lighting or other high-load devices share the circuit. I keep audio distribution tidy, use suitable leads and protect cable routes. Protective earth stays intact. If there is uncertainty about a venue's electrical supply or circuit loading, a qualified electrician must assess it.

Power planning includes what happens if a plug is accidentally switched off or a circuit trips. The mixer, active speakers, wireless microphone receivers and playback devices all need a deliberate place in the plan, not whichever socket remains free after setup.

4. Build the smallest system that covers the job

More boxes create more interaction and more cable, not automatically better sound. I choose the number of speakers and monitors according to coverage and performer needs. For a compact speech or acoustic job, one well-positioned system can be enough. For a wider audience or dance floor, two systems may provide more even coverage and headroom.

I leave room around controls and avoid building a setup that guests can lean on or children can reach easily. The operator must be able to see the performance area and hear something reasonably close to what the audience hears.

5. Label the signal path

Every microphone, instrument, playback device and presentation source receives a known channel. I set gains from the source forward, keep unused channels muted and label anything that another person might need to operate. This makes fault-finding much faster than tracing an unmarked cable while an audience waits.

For wireless microphones I check batteries, receiver position and a wired backup. For phone or laptop playback I confirm the physical connection and disable notification sounds. Bluetooth can be convenient, but a wired option is valuable when reliability matters.

6. Soundcheck in a useful order

  1. Power the system in a controlled sequence with master levels down.
  2. Check each input alone and set a clean channel gain.
  3. Set speech intelligibility before adding music or effects.
  4. Bring instruments and tracks into the balance one at a time.
  5. Test the loudest realistic part of the programme.
  6. Walk the audience area and adjust coverage, not only the mix position.
  7. Save a little headroom for real-event peaks.

I keep effects modest during the first check. Reverb that sounds exciting in an empty room may become muddy once several sources and audience noise are present. The words still need to be understood.

7. Prepare for predictable failures

My practical backup list includes spare signal cables, microphone batteries, a wired microphone, adapters for common playback devices and a second way to play essential music. I also keep the event programme and important track names available without relying on an internet connection.

A backup is useful only if it can be connected quickly. I do not bury the spare lead at the bottom of a case behind the stage. The most likely failure items stay accessible and the operator knows exactly where they are.

8. Agree on control during the event

One person should communicate programme changes to the sound operator. When several guests give conflicting instructions, cues get missed and levels move for the wrong reason. For formal events I confirm who can approve schedule changes and who will provide the next speaker or track cue.

I also agree on a sensible volume goal. A small room can become uncomfortable quickly, and louder is not the same as more energetic. Clean sound, the right music and confident timing usually create a better event than running the system at its limit.

  • Venue name, area and whether the event is indoors or outdoors
  • Date, setup time, guest arrival and finish time
  • Expected guest count and room layout
  • Speeches, live performers, DJ, karaoke or presentation requirements
  • Available power and any known venue restrictions
  • Photos of the room or stage area where possible
  • A contact person who can make event-day decisions

Those details let me propose a system for the actual job rather than padding a quote with equipment that may not be needed. They also reveal problems early enough to solve them properly.
